Information we collect

When you contact us, request a quote or place an order, we may collect your name, company, job title, email address and telephone number; the products or services you are interested in; event dates, venue details, delivery addresses and project requirements; messages, correspondence, artwork and other information you provide; and quotation, order, payment-status and customer-service records.
Our website and security providers may also process technical information, such as your IP address and browser details, to operate the website and prevent spam or misuse.
Please avoid including sensitive personal information in the contact form.

How we use your information

We use your information to respond to enquiries, prepare quotations, fulfil orders and bookings, organise deliveries and events, provide support and maintain our business records.
When you submit our contact form, your enquiry is stored in our website database. An email notification is sent to our team and an acknowledgement may be sent to you. Your enquiry may also be transferred into our private H&J Hub, where authorised team members manage contacts, quotations, event preparations and sales.
Submitting an enquiry does not automatically subscribe you to our newsletter.

Our reasons for using your information

Contract: where processing is necessary to fulfil a contract with you or take steps you request before entering one.
Legitimate interests: to answer business enquiries, communicate with company representatives, manage projects, maintain customer relationships and protect our systems.
Legal obligations: where we must retain or disclose records for accounting, tax or other legal requirements.
Consent: where required for marketing or optional cookies.

Marketing

Where you subscribe to marketing emails, we use your details to send occasional Harvey & John news and product updates. We use Mailchimp to manage these communications.
You can unsubscribe using the link in our marketing emails or contact us directly.

Who receives your information

Relevant information may be accessed by authorised team members and service providers supporting our website, email, hosting, H&J Hub, backups, accounting and marketing.
These services include Google Workspace and Google Drive, OpenAI/ChatGPT Sites and its hosting infrastructure, Xero and Mailchimp where relevant. Resend may deliver form emails, and Cloudflare Turnstile may provide spam protection.
We may share necessary details with couriers, event partners, contractors and professional advisers to fulfil your request or meet legal obligations.
We do not sell your personal information.
[Developer: confirm the providers used by the live website and form, and amend this section accordingly.]

Processing outside the UK

Some service providers and team members may process information outside the UK, including in the United States.
[Before publication, confirm the relevant destinations and applicable transfer arrangements, and describe them here—for example, applicable UK adequacy regulations or contractual safeguards. Explain how people can obtain information about those safeguards.]

How long we keep information

We determine retention by considering whether an enquiry remains active, whether an order or booking results, ongoing support needs, and applicable accounting, legal or dispute-resolution requirements.
Information should be deleted or anonymised when it is no longer needed. Backup copies may remain for a further period under the relevant backup-retention arrangements.
[Confirm the retention and deletion arrangements for website submissions, emails, Hub records and backups before publication.]
